Responsibilities
Position Overview
The Scheduler /Admin Clerk is a key operational and human resources coordination role at Foyer Père Fiset. This position is responsible for unionized staff scheduling, workforce data management, onboarding and orientation coordination, attendance management tracking, and HR-related reporting and forecasting.
Reporting to the Director, HR Services and working closely with the Administrator and Department Heads, this role ensures collective agreement compliance, maintains accurate workforce data, and supports leadership through reliable scheduling, reporting, and planning.
The Scheduler / HR Coordinator serves as a central coordination point for workforce-related systems, processes, and information, contributing to stable, efficient operations across all departments.

Key Responsibilities
Scheduling, Data Management & Workforce Forecasting
- Prepare, maintain, and manage unionized staff schedules for all departments in accordance with collective agreements
• Maintain, update, and ensure accuracy of all employee data within the Scheduling Software (SSC)
• Ensure schedules are adhered to as determined by collective agreements, approved leaves, and staffing approvals
• Monitor attendance, overtime, leaves, and replacements, identifying trends, risks, and compliance concerns
• Produce scheduling reports, summaries, and workforce forecasts to support operational planning
• Ensure all scheduling changes are approved, documented, and communicated appropriately
Onboarding, Orientation & Education Coordination
- Coordinate onboarding and orientation schedules and planning for new hires in collaboration with Department Heads
• Assign and track required education and training courses within the Surge platform
• Maintain accurate onboarding, orientation, and training completion records
• Support consistent onboarding timelines and workforce readiness across departments
Attendance Management Program Coordination
- Track employee participation in the Attendance Management Program in accordance with policy and collective agreements
• Prepare attendance summaries and supporting documentation for leadership review
• Coordinate and schedule quarterly attendance management meetings between employees and Department Heads
• Provide logistical and administrative support related to attendance management follow-up and documentation
Administrative & Reporting Support
- Prepare workforce reports, summaries, and data to support HR and operational decision-making
• Participate in staff meetings, training sessions, and continuous improvement initiatives related to scheduling and HR systems
Requirements & Qualifications
- Experience in scheduling, HR coordination, payroll, or administrative roles (healthcare or unionized environment preferred)
• Willingness and ability to learn and apply collective agreements accurately
• Strong organizational, time-management, and analytical skills
• Proficiency with scheduling software (SSC preferred), Microsoft Office Suite, and HR systems
• Excellent communication skills and ability to work collaboratively
• Ability to manage confidential information with discretion and professionalism
